Privacy policy

Last updated 16 August 2026. This policy explains what personal data GENICALC LTD collects when you use genicalc.com, buy a GeniCalc, or use the calculator's connected features, and what we do with it. We have tried to write it so a student or a parent can read it, not just a lawyer.

1. Who is responsible

The controller is GENICALC LTD, registration HE 488325, Stadiou 15, 2867 Nicosia, Cyprus. Email: contact@genicalc.com. We have not appointed a data protection officer because we are not required to; the same address reaches the people responsible. If you are in the United Kingdom, the UK GDPR applies to you and you may complain to the Information Commissioner's Office (ico.org.uk).

2. What we collect and why

When Data Why, and legal basis
You join the waitlist Email address, optionally your country To email you when pre-orders open where you live and to decide which countries to open next. Basis: your consent (you can unsubscribe with one click).
You place an order Name, email, delivery address, phone if given, order details, payment status (card details go directly to Shopify Payments; we never see the full card number) To take payment, deliver, handle returns and warranty, and keep the accounts the law requires. Basis: performance of the contract and our legal obligations (tax, consumer law).
You create a GeniCalc account and activate a device Email, password (hashed), device serial number and IMEI, activation date, country, AI Plus entitlement and billing status To link the calculator to you, start your free AI Plus months, and run the subscription. Basis: performance of the contract.
You use Snap & Solve or ask the AI The photo you take, the text of your question, the answer, time and device identifier To produce the answer. Basis: performance of the contract. Photos of homework are usually not personal data, but they can be (handwriting, names on a page) — treat the camera like a camera and don't photograph things you wouldn't send to us.
You contact support Whatever you send us, and your contact details To help you. Basis: performance of the contract / our legitimate interest in answering you.
You browse the site Cookies and similar identifiers, pages viewed, approximate location, device type Necessary cookies run the shop and checkout (legitimate interest). Analytics and advertising cookies (Google Analytics, Google Ads, Meta) run only if you accept them in the cookie banner (consent). You can change your choice at any time via the "Cookie settings" link in the footer.

Some data is needed to perform the contract: name, delivery address and email to deliver an order; email and the device serial/IMEI to activate a device. Without them we cannot deliver or switch on the connected features. Everything else is optional.

3. The AI behind Snap & Solve — who sees your questions

The calculator's AI features are provided by three third-party AI companies acting as our processors: Anthropic (Claude models), OpenAI (GPT models) and Google (Gemini models). Depending on the question and on availability, your photo or text is sent to one of them, the answer comes back, and it is shown on your calculator. Under our agreements with them:

  • they may use your data only to produce the answernot to train or improve their models;
  • they keep the request for a limited period for safety and abuse monitoring — currently up to 30 days at Anthropic and OpenAI and up to 55 days at Google — or shorter where zero-data-retention options apply, and longer only where a request is flagged as abusive or the law requires; then they delete it;
  • they are established in the United States; transfers rely on the EU–US Data Privacy Framework where the provider is certified, and otherwise on the European Commission's Standard Contractual Clauses. You can ask us for a copy of the safeguards.

Answers generated by AI are marked as such on the device. AI can be wrong; it is built to show its working so you can check it.

4. Who else receives data

  • Shopify (Shopify International Ltd, Ireland) runs the shop, checkout, customer accounts and emails, and processes payments as Shopify Payments; data may be processed in Canada, the United States and other countries under Shopify's Data Processing Addendum and the European Commission's Standard Contractual Clauses.
  • Our fulfilment partner in the EU receives your name and address to pack and ship your order, and the parcel carrier receives what it needs to deliver.
  • Google (Analytics, Ads, Tag Manager) and Meta receive browsing data only if you consented in the cookie banner.
  • Our developers and hosting providers for the device backend, bound by contract to act only on our instructions.
  • Authorities, when the law requires it (tax, product safety, a court order).

We do not sell personal data.

5. Children and parents

GeniCalc is made for students aged 13 and above. The age at which a young person can consent to online services themselves differs by country (it ranges from 13 to 16 — for example 13 in Belgium and the United Kingdom, 14 in Spain, Italy, Austria and Cyprus, 15 in France, 16 in Germany and the Netherlands — and the calculator applies the threshold of the country you activate it in). Below that age, activation asks a parent or guardian to approve the account before the camera and AI features are switched on. We do not show advertising inside the calculator and we do not build profiles of children for marketing.

6. How long we keep data

  • Waitlist: until you unsubscribe or until 12 months after launch, whichever is first.
  • Orders and invoices: 10 years after the end of the year of purchase where EU VAT One-Stop-Shop record-keeping rules require it, otherwise 6 years (Cyprus tax and accounting law), then deleted.
  • Account and device data: for as long as the account exists and 12 months after you close it, so you can reactivate.
  • Snap & Solve history on our servers: 90 days, so you can revisit recent answers; you can delete it at any time from the device or by asking us. The AI providers' copies are deleted per section 3.
  • Support conversations: 24 months.

7. Your rights

You can ask us to access, correct, delete or export your data, to restrict or object to processing, and you can withdraw consent at any time without affecting what was done before. Write to contact@genicalc.com; we answer within one month. You can also complain to your national data protection authority. Ours is the Commissioner for Personal Data Protection, Cyprus (dataprotection.gov.cy).

8. Security

Data travels encrypted (TLS) between the calculator, our servers and our providers. Access on our side is limited to the people who need it. The device itself is protected by a passcode you set; keep it to yourself.

9. Changes

If we change this policy in a way that matters, we will tell account holders by email and show the date at the top. Earlier versions are available on request.
